Automations

When something happens or the time comes, your work moves on its own

Pick what starts a rule: a task added or changed, a due date, a comment, a form answer, a database row or a schedule. Add conditions if you need them, then choose what happens: change fields, create tasks, notify people, send an e-mail, call a webhook or hand the task to a bot. Every run is in a log. Another app can start a rule by sending a request to its address, and a bot can do the work without a task, so most scripts are not needed.

Quick answer

What is automations?

An automation is a rule you set once: when this happens, and these conditions hold, do these things. Rules belong to a project, or to a whole team on plans with teams, and run for everyone working there.

How it works

How to create an automation

Build a rule in three steps from a project's lightning icon.

  1. 1

    Choose the trigger

Open Automations in a project and pick when the rule runs, for example every Monday at 09:00 or when a status changes.

  2. 2

    Add conditions and actions

Narrow it down with conditions if you need to, then add what should happen, one action after another.

  3. 3

    Try it and save

Try it on a task to see each step, then save. The log shows every run from then on.

Use cases

Who uses automations?

A weekly report by e-mail

Every Monday morning a rule sends your client an e-mail with the subject and text you wrote, with today's date filled in.

Requests from a form

When a form answer becomes a task, a rule sets its priority, assigns the right person and adds a checklist from a template.

Nothing forgotten

Two days before a due date a rule notifies the assignee, and when all subtasks are done it moves the task on.

FAQ

Frequently asked questions

How many automations can I have?

Free has 3 rules a project and 100 runs a month, Basic 25 rules and 2,000 runs, Pro 50 rules and 25,000 runs, Max 50 rules and 100,000 runs, and Team 50 rules and 5,000 runs per seat. In a team the owner's plan counts.

Can an automation send an e-mail?

Yes, from the Basic plan. It writes to the task's assignees or creator, to addresses you type, or to an e-mail column of a database row, with your subject and text and an optional reply-to address.

Can an automation run on a schedule?

Yes. A rule in a project can run once, every few hours, daily, on weekdays, weekly or monthly, in the owner's time zone. It can create a task, notify people, send an e-mail or call a webhook. It can also ask a bot to do the work.

Can another app start an automation?

Yes, from the Pro plan. A rule gets its own address. When another app sends a JSON object or a form to it, the rule runs and can use what was sent in its texts, for example to ask a bot to handle it.
